Import/Export Procedures
Please follow the below given Import /Export procedures with reference to the above show.
Options forwarding into the country ( Sri Lanka )
The participants for the above show could import their parcels into Sri Lanka on following methods;
Hand CarryAll
Hand Carry parcels will have to be deposited with Sri Lanka Customs at the airport arrival and collect the acknowledgement receipt from Sri Lanka Customs ( Green Slip ).
Exhibitor’s hand caring their parcels should follow below given procedure
~ All exhibitors should inform Malca-Amit / Colombo their arrival details minimum two days before arrival. Arrival details could be faxed ( Service Confirmation Form which is attached ).
~ All exhibitors should arrive Colombo latest by 01st Sept 2009 midnight.
~ Customs clearance & delivery could be delayed for all exhibitors arriving after above given date / time
~ Please deposit all exhibiting items which are being hand carried into Sri Lanka to avoid unnecessary delays since, 100% examination will be carried by Sri Lanka Customs on all passengers who are on arriving for the Show.
~ At the time parcels are being deposited at the Sri Lanka Customs Bond (on arrival) Original
Invoice copy should be attached out side of the box.
~ M.A. Lanka (Malca-Amit) representative will be present at the arrival area in the airport to collect all Green slips which are being handed over by Sri Lanka customs after goods are being deposited at Customs Bond.
~ Malca-Amit representatives will be present at the customs area to assist all exhibitors who are arriving for the show.
~ Participants who fail to hand over the green slip to Malca-Amit representative at the arrival, will have to hand over the same at the exhibition site on 02nd Sept 2009 before 10:00 hrs.

Very Important : The reverse side of the above said Green Slip ( Customs
acknowledgement receipt ) which is being issued by Sri Lankan Customs on arrival should
be signed by the depositor before handing over the documents to Malca-Amit representative.
~ Examination of all foreign goods will take place at the exhibition site on 02nd Sept 2009 at 6.00pm & all foreign exhibitors should be present at that time.
Air Freight
~ All above parcels should arrive Colombo on or before 31st Aug 2009 and documents pertaining to same should be faxed to us by 31st Aug 2009
~ Customs Clearance will be done on 01st & 02nd Sept 2009
~ Commercial Invoice & Packing list should be placed inside the airline shipment pouch and
a copy inside the box.
Options for customs clearance
The main options to clear customs at Colombo will be as follow-
ATA Carnet
This is the best way to import goods into the country provided the country of origin is approved for ATA Carnet. There will be no Duties or Taxes charged at the importation. It is full responsibility of the importer to ensure that all goods are being re-exported after the show.
(Carnet goods cannot be sold )
TIB Clearance
Temporary Importation Bond clearance will apply for all those who wish to sell their goods at the exhibition. All Duties & Taxes will have to be paid in full for sold goods at the end of the show. ( not for foreign sales )
All Local & Foreign sales should be confirm via receipts containing 3 carbonized copies and certify same with customs if it’s a foreign sale. ( this could be done by us and therefore please advise us on all foreign sales at the exhibition site ) [sale/memo invoice should be issued to the buyer for every transaction]

All Commercial Invoices & Air way Bills should be consigned to

Company Name
All Invoices should contain specially the following details;
- Total number of items
- Description
- Weight ( Gems in Carats & Jewellery in Grams )
- Rate per piece or Carat
- Total CIF or FOB value in USD
- All Jewellery items should be invoiced individually ( item by item )
- Hand carry persons name & Pass Port number (If the parcel is hand carried)
Re-Exportation
~ All Air freight parcels will be Re-exported on 08th September 2009.
~ All hand carry parcels will be sealed immediately after the exhibition at the site and same will
be deposited with Customs at the Airport departure area for collection by exhibitors.
~ Please note, Sri Lanka Customs at Airport departure will charge a fee of Rs. 50.00 per package
as SR fee for all departure packages which are been bonded.
~ Under any circumstances goods will not be allowed to take away from the exhibition
site during the show and after the show since, goods are cleared under Customs Bond.
Special Remarks
~ Please note, end of each day all goods should be deposited at the Customs Bond which is provided by the organizers at the exhibition site.
~ Do not include any promotional items, showcase and etc inside the merchandise box.
~ If there are any above items, please either hand carry the same separately or air freight the same to Colombo. All Air Freight General Cargo should arrive Colombo on or before 29th Aug 2009.
~ At the end of show, kindly provide us a list of sold items which should be according to your import invoice.
~ All goods displayed at the foreign booths should be declared to Sri Lanka Customs either when it is hand carried or through air freight.
Customs Bonding / Import – Export Handling charges
USD. 250.00 per Air freight shipment or per Hand Carry shipment
Please be advised that if one person [foreign participants] hand caries several packages with different invoices and names, each invoice will be individually billed at USD. 100.00 in addition to above handling fee of USD. 250.00
If person hand carry several invoices under one name and clear the import, but on the final day if the same person needs to break up the invoices for several names, still there will be an additional fee of USD.100.00 for each said invoice.
The above fee is charged due to some participants consolidate all packages into one persons name to avoid payment for handling fees, but the clearing agent has to pay Sri Lanka customs, Security Transport and all other service providers for the number of Invoices and packages /shipments.
Duties & Taxes for all local sale goods
Gems 3% NBT
Diamonds 3% NBT
Jewellery with or with out settings
~ Duty - 28.0 % ( CIF Value )
~ Sur-Charge - 15.0 % ( Duty )
~ SRL - 1 .5 % ( Duty + Sur-Charge )
~ PAL - 5 % of ( CIF Value )
~ V.A.T - 12 %
~ CESS - 15 % ( CIF x 10% + Value x 15% )
~ NBT - 3 % ( CIF x 10% + Value x 3% )
VAT Calculation ( Value x 10% + Val + Duty + Sur-charge + PAL + CESS + NBT x 12% )
E.g. for VAT : Value USD. 50,000 (CIF)
V.A.T = Val x 10% 5,000/- + Val 50,000/- + Duty 14,000/- + Sur-Charge 2,100/- + PAL 2,500/- + CESS 8,250/- + NBT 1650/= x VAT 12%
Total VAT 10,020/-
